Regardless of how you see your business operations, your customers usually have only have one functional perspective–they want predictable results at an acceptable price at a preferred timeframe. Outside of those main key areas (and as long as you’re ethical and responsible about you conduct business), a smile and a friendly attitude should ensure a happy relationship.

Our jobs as the custodians of our businesses is to make sure our customers are completely satisfied–we need to effectively compete in every area (not just on price!) Success in customer satisfaction means hitting each of those key areas. Part of the burden lies in fulfilling the order accurately and efficiently (including everything from taking the order through the shipment/delivery of the order.) A smaller part (but often MORE important to the customer) is the communication of information BACK to the customer.

A good Order Management system facilitates all of the customer-important areas (results, pricing, time frame) while automatically making the information available to the customers. A good solution will enforce order accuracy as well as provide communications–this works best when digital automation and communication can eliminate tedious and unproductive tasks.

Xcellerated Solutions can help with the selection, design, implementation, and integration of an automated Order Management system that can actually increase your revenue while increasing your accuracy. How much happier would your Customers be if:

Your ordering process were easy, accurate, quick, and intuitive?

  • You don’t have to use an E-Commerce website these days, but if not that, you’d better make it easy for your customers to order with you. If you’re not offering an internet or mobile-device-based ordering and reporting system, your customers will find other suppliers. Amazon and other online retailers have trained consumers to turn their buying habits online. Vendors that cannot compete in this area will lose ground.
  • Whatever tools you provide your Customers to assist with ordering, automation is crucial to ensure that product, pricing, and other key information are easily and accurately captured and processed. A good system is key to making it easy for your team to succeed in order fulfillment.
  • Customer Satisfcation isn’t something we can force in a transaction, but how you do business determines how satisfied your Customers are.
  • Xcellerated Solutions can help set up and configure a system that ensures that the order your Customer initiated (and received confirmation for) is process accurately, for the right price, and on time.

You had AI agents working for you to anticipate and proactively fix or route problems for quick resolution?

  • Humans are great at using intuition to solve problems by naturally relying on past experiences to optimize situations. Humans are capable of stunning insights and creative thinking, but they struggle with objective or repetitive tasks. Computers are slow to “learn”, but they excel at repetitive tasks with no variance or error–mistake only happen when given bad input (humans), or functional rules are broken that violate the expected parameters.
  • Current ERP systems lack the intuitive learning capabilities of humans, but some rules-based AI engines are capable of looking for (and often remediating) predictable patterns that cause problems. By applying continuous-improvement principles to these AI engines, organizations can proactively find ways to creatively improve every aspect of the Order Management process.
  • Customer Satisfaction isn’t something we can force in a transaction, but how you do business determines how satisfied your Customers are.
  • Xcellerated Solutions can help set up an Artificial Intelligence bots or scheduled tasks in your environment that will tattle, fix, or re-route workflows to ensure that major problems are completely avoided and that unexpected problems can be easily corrected and future-proofed. Your Customers will thank you for it.

You provided full visibility on order status, tracking, and accounting information?

  • We all know the anticipation of waiting for an online order to arrive. We’ve all received the email with the tracking number we click on 17 times over a 3-day period. When we’re the ones shipping the product, our Customers are the ones checking their phones like a child who thinks it’s time for ice cream.
  • Twenty years ago, we could get away with manually emailing some of our larger customers with their tracking or PRO information. In the modern world, even if EDI hasn’t been a force-fed requirement by your Customer, even smaller customers expect prompt, accurate updates on their order status. This is a subtle thing, but it’s become important to most buyers.
  • Customer Satisfaction isn’t something we can force in a transaction, but how you do business determines how satisfied your Customers are.
  • Xcellerated Solutions can help with setting up system triggers that generate automatic emails, text messaging, website updates, or EDI transmissions. We understand how to pull from existing (and new) systems to ensure that data is captured ACCURATELY once and automatically used and reported when and where needed.

Your order activities automatically generate things like UCC 128 labels, EDI transmissions, website status updates, and status emails?

  • For many job positions, employees do tasks in the Order Management (and Fulfillment) process that may not have any training or visibility into the underlying systems. They might pick inventory from a warehouse location or package and generate shipping labels without any other interaction with the ERP system. These system users shouldn’t need to know anything other than what they need to do their job accurately–most of the system data is hidden to them.
  • When users work in a well-designed Order Management system on these types of positions and work tasks, there are usually very strict procedures they follow to ensure that no handling/processing mistakes are made. Barcodes are used on order paperwork and products to ensure accuracy. Tracking numbers are automatically generated and printed. UCC 128 (and other critical labeling) pull from order data automatically–the users may not have any awareness of Customer or Address information. EDI transmissions are triggered by certain events, tracking numbers are automatically updated on a website, and emails and mobile app notifications are generated.
  • Customer Satisfaction isn’t something we can force in a transaction, but how you do business determines how satisfied your Customers are.
  • Xcellerated Solutions has worked with hundreds of companies on automating processes, paperwork, and data updates and transmissions. We know how to reduce headaches and errors while creating worry-free results.

Your system worked in complete synchronicity with your online order sources (Website, Amazon, etc.), your EDI Trading Partners, and your users?

  • When starting with a new website or online order source, it’s common to rely on uploading manual spreadsheets to set things up. While price lists and product lists may be static enough to manually update, for some situations (like Inventory Quantity On Hand) this may not be responsive enough. When you have more than one online order source, things are MUCH more difficult to manage manually.
  • When downloading orders, manual entry is still possible, but volume will quickly make this difficult to manage. A good system should seamlessly and automatically push and pull the proper data points between systems and keep Customers and trading partners in the loop.
  • Customer Satisfaction isn’t something we can force in a transaction, but how you do business determines how satisfied your Customers are.
  • Xcellerated Solutions can assist with all aspects of data integration and transmission between your Order Management system components. We can suggest options for parts (or all) of your ERP system to fix, upgrade, customize, or replace your current functionality.
