We all know the anticipation of waiting for an online order to arrive. We’ve all received the email with the tracking number we click on 17 times over a 3-day period. When we’re the ones shipping the product, our Customers are the ones checking their phones like a child who thinks it’s time for ice cream.

Twenty years ago, we could get away with manually emailing some of our larger customers with their tracking or PRO information. In the modern world, even if EDI hasn’t been a force-fed requirement by your Customer, even smaller customers expect prompt, accurate updates on their order status. This is a subtle thing, but it’s become important to most buyers.

For many job positions, employees do tasks in the Order Management (and Fulfillment) process that may not have any training or visibility into the underlying systems. They might pick inventory from a warehouse location or package and generate shipping labels without any other interaction with the ERP system. These system users shouldn’t need to know anything other than what they need to do their job accurately–most of the system data is hidden to them.

When users work in a well-designed Order Management system on these types of positions and work tasks, there are usually very strict procedures they follow to ensure that no handling/processing mistakes are made. Barcodes are used on order paperwork and products to ensure accuracy. Tracking numbers are automatically generated and printed. UCC 128 (and other critical labeling) pull from order data automatically–the users may not have any awareness of Customer or Address information. EDI transmissions are triggered by certain events, tracking numbers are automatically updated on a website, and emails and mobile app notifications are generated.

When starting with a new website or online order source, it’s common to rely on uploading manual spreadsheets to set things up. While price lists and product lists may be static enough to manually update, for some situations (like Inventory Quantity On Hand) this may not be responsive enough. When you have more than one online order source, things are MUCH more difficult to manage manually.

When downloading orders, manual entry is still possible, but volume will quickly make this difficult to manage. A good system should seamlessly and automatically push and pull the proper data points between systems and keep Customers and trading partners in the loop.
